We know the cost side of therapy can feel stressful. After you schedule, we’ll walk you through submitting your insurance information securely through the patient portal so we can verify benefits and help you understand what to expect financially.

Using WebTPA at Champaign Counseling

If your insurance is administered by WebTPA, this page explains exactly how to check coverage and get scheduled.

WebTPA is often a third-party administrator (TPA) that processes claims for employer-sponsored health plans. That means your plan may be administered by WebTPA even if your insurance card includes another plan name or logo.

We often see clients who work at local healthcare employers (including Christie Clinic) whose plans are administered by WebTPA.

After you schedule, you’ll receive a welcome email with instructions for setting up your patient portal account.

Complete Your Intake Packet in The Patient Portal

Once your portal is set up, you’ll see an intake packet that includes an insurance form with step-by-step instructions for uploading a photo of your insurance card.

We verify your benefits

After your appointment is scheduled and your insurance details are submitted through the portal, our office manager will contact your insurance plan to:

  • confirm we are in-network (when applicable)

  • verify your outpatient mental health benefits

  • confirm whether your plan typically applies a copay and/or deductible/coinsurance

 You Receive a Cost Estimate Before Your First Session

If your insurance information is submitted at least 24 business hours before your first appointment, we will send you a summary of what your plan reports so you know what to expect financially prior to your first session.

How you’ll receive your benefits summary

We Will Send Your Benefits Information Either:

  • Through a secure message in the patient portal, and/or

  • By email with a summary of expected costs (based on what your insurance plan reports)

Why we recommend you also confirm benefits

We verify benefits as a courtesy, but occasionally different insurance representatives provide different information. We recommend you also call the member services number on your card to double-check your benefits and reduce surprises.

  • We work with many clients whose benefits are administered by WebTPA. Coverage varies by employer and plan design. Once your first appointment is scheduled and your insurance information is submitted through the patient portal, we can verify benefits and provide an estimate of expected costs.

  • Some plans do and some don’t. When we verify your benefits, we ask about referral/prior authorization requirements. We still recommend you confirm this with member services as well.

  • Check your insurance card or online member portal, or call member services and ask who administers your plan. If you’re unsure, schedule your appointment and submit your insurance details through the patient portal and we’ll verify once we have what we need.

  • Benefits can change at renewal or when employers update plan design. If anything changes, submit your updated insurance information through the patient portal and we’ll re-verify.

  • Employers do not receive therapy notes or session details from us. Claims are processed through your health plan/administrator under privacy rules. If you have privacy concerns, we can talk through options, including private pay.

  • No. Champaign Counseling is not affiliated with Christie Clinic. We’re an independent counseling practice that is in-network with many plans, including some administered by WebTPA.
